[HUDX-123-AD] Housing Inventory Count (HIC)

Report Purpose and Summary

This report is run for programs to view the available beds in programs for persons experiencing homelessness.

PLEASE NOTE:  There are two HIC reports available.  These instructions refer to the CANNED version of this report and DOES NOT require a special license.

Canned version versus Looker version

Looker version:

Requires a Looker license
Allows access to errors in the report needing to be addressed
Includes various demographic data groupings that are formatted to match most CoC google HICs

Canned version:

Does not require an additional license
Does not show potential errors needing to be addressed
Two ways top run, one of which provides demographic information, but neither version is formatted to match CoC google HICs

Instructions

Make sure you are operating in Clarity under the agency you are running the report for. You can check and change this under your name in the top right corner.

Step 1: Click on the Launchpad, then click on the Reports icon.

Step 2: In the Report Library, click the down arrow next to the Administrator Reports folder to expand the section.

Step 3: Click the Run button next to[HUDX-123-AD] Housing Inventory Count (HIC).

Reporting Parameters

CoC	Choose the HUD recognized CoC for your program
Agency Status	Choose 'Active Agencies'
Agency Filter Category	Choose 'Agency CoC'
Agency(-ies)	Choose ONLY your agency
Program Type(s)	Choose the Program Types for the programs you wish to include in the report (hold either control/command/shift button to select multiple types)
Program Status	Choose 'Active Programs'
Program(s)	Choose the programs you wish to include in the report (hold either control/command/shift button to select multiple types)
Apply Client Location Filter	Choose 'Yes'
RRH Inventory Based On	Two options: Project Stays and Program Inventory. The PIT count is the same for both but the bed and unit inventory is different. Use Program Inventory to view the inventory assigned to a project in HMIS and return a utilization rate. Project stays may be used as an alternative to the Looker version of the HIC to obtain demographic information because, when using Project Stays, the bed and unit inventory reflects enrollment information rather than HMIS project set up.
HIC Year	Choose the year in which the PIT date falls
PIT Date	Choose the Point in Time date for which you wish to view data
Last Year's PIT Date	May use 01/26/2022. This parameter is used to determine Newly Closed and Newly Opened Projects and is only relevant for the Annual HIC report.
Report Output Format	Select Web Page, PDF or Excel*

*Drilldown Functionality is available when run in Web Page Format

Step 5: Click submit

The file will be sent to the Report Queue. Once the report is processed, you will receive a notification that the report is ready.

To open the report, either select Open on the popup or click the Queue icon and then click Open.

Due to the width of the HIC, the graphics below show the two sides of the report.

Drilldown Functionality

Drilldowns are available for rows “Number of Households with undefined HoH“ and “Number of Households with missing move-in date.”
