[OUTS-108] CE Demographics Report

Report Purpose and Summary

This report allows communities to understand the demographics of the people served by the coordinated entry system. All users may run the report. There are restrictions for which information can be accessed based on the rights of the user.

Instructions

Make sure you are operating in Clarity under the agency you are running the report for. You can check and change this under your name in the top right corner.

Step 1: Click on the Launchpad, then click on the Reports icon. 

Step 2: In the Report Library, click the down arrow next to the Assessment Based Reports folder to expand the section.  

Step 3: Click the Run button next to [OUTS-108] CE Demographics Report.

Reporting Parameters

Step 4: Enter the following parameters

Referral Basis Choose between:
  •        All clients assessed
  •        Clients assessed and not referred to any queue
  •        Only clients referred to a queue
Queue(s) NOTE: This option is only displayed if Referral Basis = Only clients referred to a queue Community queues will be displayed based on your agency’s ability to refer clients to that particular queue.
Referral Status(es) NOTE: This option is only displayed if Referral Basis = Only clients referred to a queueChoose between:
  •        All
  •        Pending
  •        Completed
  •        Denied
  •        Expired
  •        Pending – In process
Assessment(s) Select which assessment(s) to include in the report (hold either control/command/shift button to select multiple)
Veteran Status Select the veteran status of clients to include in the report from the following options:
  •        All (includes clients regardless of veteran status)
  •        No
  •        Yes
  •        Client doesn’t know
  •        Client refused
  •        Data not collected
Report Date Range Choose the assessment date range to include in the report
Report Output Format Select *Web Page, PDF or Excel
Drilldown Output Format Note: This option is only displayed if Report Output Format = Web Page is selected.Select Web Page, PDF or Excel

*Drilldown Functionality is available when run in Web Page Format 

Step 5: Click submit

The file will be sent to the Report Queue. Once the report is processed, you will receive a notification that the report is ready.

To open the report, either select Open on the popup or click the Queue icon and then click Open.

Reporting Details

This report uses the latest client assessment for each table/chart in the report which meets the selected parameters.

Note: assessment should be connected to the client program

The report includes data tables for each demographic field, as well as bar graphs and/or pie graphs that visualize the data. The following demographics are included in the report:

  •        Age range
  • o   This data is from the client's age at the Assessment date or Report Start Date (whichever is greater).
  •        Gender
  •        Race
  •        Disability status (any disability)
  •        Physical disability
  •        Developmental disability
  •        Chronic health condition
  •        HIV/AIDS
  •        Mental health disorder
  •        Substance use disorder
  •        Chronic Homelessness
  • o   Clients entering from homelessness
  • o   Approximate date homelessness started
  • o   Times homeless in past three years
  • o   Total months homeless in the past three years
  •        Veteran status
  •        Hispanic/Latin(a)(o)(x) ethnicity
  •        Prior living situation
  •        Prior living duration
  •        Individual income
  •        Household income
  •        SSN validity
  •        Zip code validity
  •        Assessments
  •        Community Queues

Drilldown Functionality

Drilldown functionality is available for this report. Drilling down on any count will yield a list of all clients associated with that list. The Name field contains the link to the Client Profile.
