BoS Coordinated Entry HMIS Priority List Reports

Background

The Coordinated Entry Priority List Reports are used to determine which client/household in the Balance of State Coordinated Entry System is highest prioritized for an opening in a Homeless Prevention, Transitional Housing, Rapid Rehousing, Permanent Supportive Housing, or Other Permanent Housing program.

Users must have a Looker License to run these reports.

There are four priority list reports available:

  • Balance of State CE Prevention Prioritization List
  • Balance of State CE Homeless Prioritization List - Households with Children
  • Balance of State CE Homeless Prioritization List - Households without Children Part I (includes PSH, TH, CoC RRH, DV RRH, and EHH RRH)
  • Balance of State CE Homeless Prioritization List - Households without Children Part II (includes YHDP and Client Details)

Instructions

Accessing the Reports

Step 1: Make sure you are switched into the Balance of State CoC Agency.

Step 2: Click on the Launchpad Icon, and select the Reports Icon.

Step 3:  Click on the Data Analysis tab.

Step 4:  Expand the Balance of State CoC Reports folder.

  • Click Run to run the priority list report of your choosing.

Running the Reports

Step 1:  After you click RUN to run the report, you will see an “X” in the upper right corner of the screen with a circle rotating around it. This means the report is loading. You can click the "X" to stop the report from running so that you can select your report filters.


Step 2: All the local priority list filters will be set to “is any value”. Find your local priority list and click the “is any value” button below it.

A box will pop up. Click “Yes” to filter the report to look at your specific priority list. *Make sure to leave all other priority list filters as "is any value". Do not change the other list filters

Step 3: Click the “Update” button to generate the list.

You will know the report has finished when you see this symbol.

Step 4: Once the report has finished running, you can download it by clicking the three dots in the upper right corner of the screen and clicking “Download”.

Step 5: A screen will pop up to select formatting options. 

To download in CSV format: select "CSV" and click "Download".

To download in PDF format: Select the following options: Format = PDF, Paper Size = Letter, Orientation = Landscape, and select “Expand tables to show all rows”. Then click “Download”.

Step 6: The following screen will pop up while your document generates. It will take a few minutes to generate (longer if you have more clients on your priority list).

Step 7:  Once the file is generated, you will receive the following message and the file will be available to open from your downloads bar / downloads folder.
