Staff Oversight - Quick Guide

Clarity provides numerous tools to support basic staff supervision tasks. These include managing user licenses and caseloads, and monitoring staff data quality and activity in the system. Below is an overview of some particularly useful reports to get you started. Please reach out to your system administrator if you have questions.

* Don't forget to click the star to add a report to your Favorites folder. This make it easier to find and also saves your prompts making it easier to rerun in the future.

Clarity User Licenses – Check to see who is currently licensed and who needs to be deactivated.

[DQXX-103] Monthly Staff Report – Convenient list of current staff and basic info re their HMIS activity.

Staff HMIS activity – Basic checks on how and how often staff are accessing HMIS and updating records.

[STFF-104] Staff Client Data Activity Report – Details re what data staff have entered into client records.

[DQXX-103] Monthly Staff Report – Reports whether staff have “activity” during the reporting period and their last log in if they do not.

Staff Caseloads – It can be important to maintain accurate caseloads so that staff receive notifications and reminders about assessment due dates and to coordinate care across agencies. Click here for a guide on how to reassign clients.

[STFF-103] User Active Caseload – Easy way to get a list of the clients who are assigned to specific staff.

[DQXX-103] Monthly Staff Report – Includes a list of inactive staff with clients still assigned to them.

Staff Data Quality – Used to identify data entry and/or data collection issues.

[DQXX-103] Monthly Staff Report – Contains data around caseloads, data quality, timeliness, etc.

[HUDX-225] HMIS Data Quality Report – Data completion percentages for the CAPER and APR fields. Useful for identifying data collection issues and trends at the program level.

[DQXX-102] Program Data Review – Data completion info at the client level. Perhaps more efficient than the HUD Data Quality report when doing data clean up.

[Data Analysis] Data Completeness – Annual Assessments – Contains program and client level tables around completion of this annual task. Also useful for while working to ensure income gets updated.

[Data Analysis] EHH report for data quality – Includes an overall data quality score for both programs and individual staff.
